These terms and conditions (“Terms and Conditions”) govern the relationship between Arrow Travel Co. (referred to as "we," "us," "our") and you, the purchaser and/or traveler ("Client" and “Passenger” and “You/Your”). By planning travel with Arrow Travel Co., you agree to be bound by these terms and acknowledge that Arrow Travel Co. acts solely as a booking agent for disclosed principal supplier tour operators, cruise lines, hotels, airlines, air charters, bus companies, ground transportation, boat purveyors or owners, and other independent contractors providing accommodations, transportation, and other services (“Supplier(s)”) and is not the source or provider of the travel services. These terms include warranties, disclaimers, exclusions of liability, and may restrict your rights and remedies, providing protection to Arrow Travel Co.
1. USE OF ARROW TRAVEL CO. SERVICES, ACCESS, AND INFORMATION FOR TRAVEL BOOKINGS
You warrant that you are at least 18 years of age and possess the legal authority to enter into this Agreement and to make travel bookings with Arrow Travel Co. You agree to be financially responsible for all your travel bookings made on behalf of yourself and any member of your traveling party and warrant that all information supplied by you on behalf of yourself, members of your household, or others for whom you are authorized to transact business with us is true and accurate. You agree that you will only make legitimate reservations or purchases with Arrow Travel Co. and its Suppliers and acknowledge that any speculative, false, or fraudulent reservation is prohibited.
All bookings are accepted by Arrow Travel Co. as agent for the travel Suppliers on your itinerary. Separate Supplier terms and conditions will apply to your reservation and purchase of travel-related goods and services that you select, and you understand and agree to abide by the terms and conditions of purchase imposed by any Supplier that you have selected as a service provider on an itinerary you have approved.
Arrow Travel Co. is affiliated with Fora Travel Inc., but acts independently as an agent for your bookings, and is not responsible for the operations of any Suppliers.
2. PAYMENTS AND CANCELLATIONS
You are responsible for all charges, fees, duties, taxes, and assessments arising out of your travel bookings through Arrow Travel Co. By submitting a credit card authorization form to Arrow Travel Co., you agree to allow Arrow Travel Co. to use your payment method to purchase travel products from our Suppliers on your behalf.
EXCEPT IN CASES OF FRAUD, YOU AGREE NOT TO FILE ANY DISPUTE WITH YOUR BANK OR CREDIT CARD COMPANY TO AVOID OR VIOLATE ANY BOOKING TERMS AND CONDITIONS OF ARROW TRAVEL CO. OR ITS SUPPLIERS, INCLUDING CANCELLATIONS OR CHANGES OF ITINERARY OR ARRANGEMENTS FOR REASONS BEYOND THE CONTROL OF ARROW TRAVEL CO. OR ITS SUPPLIERS. If you attempt to chargeback, reverse, or recollect a previously authorized trip payment, Arrow Travel Co. reserves the right to collect all additional costs, fees, and expenses associated with such chargeback, reversal, or recollection, including, without limitation, attorney fees. Travelers also waive the right to sue or initiate legal disputes for non-refundable payments.
Clients are responsible for any foreign transaction fees incurred on their debit or credit cards when making payments to vendors located overseas. Quotes provided in foreign currencies, such as Euros, will include an estimated USD equivalent as of the date of the quote. However, clients acknowledge that currency exchange rates may fluctuate, and Arrow Travel Co. is not responsible for any differences between the quoted rate and the final charge.
All payments for travel are due prior to departure according to each Supplier’s terms and conditions of booking. Suppliers may impose strict deadlines, which are often at 5 p.m., 9 p.m., or midnight. It is the traveler’s ultimate responsibility to ensure timely payments. Missed deadlines may result in cancellations, penalties, or additional reinstatement costs, all of which are the sole responsibility of the traveler. Failure to make final payment or violation of a Supplier’s conditions of purchase may result in the cancellation of reservations, denial of access to flights, tours, hotels, cruises, or other travel services, and forfeiture of any monies paid.
Cancellation Fees and Refunds:
Non-refundable bookings are not eligible for refunds under any circumstance, including pandemics, wars, or other force majeure events. Travelers are responsible for reviewing the terms and conditions outlined on their invoices. All cancellation requests must be sent to Arrow Travel Co. in writing. Cancellation fees may apply and will be charged to the payment method authorized for travel services or deducted from any Supplier refunds. Arrow Travel Co.’s cancellation penalties, as outlined in the Fee Schedule, will also apply.
Arrow Travel Co. does not retain payments on behalf of clients. When a traveler submits a credit card authorization, payments are processed directly with the vendor, including hotels, cruises, tours, or activity providers. Arrow Travel Co. only collects Planning Fees directly, which are non-refundable.
If for any reason a credit card charge is declined, reversed, or payment is not successfully processed for travel plans and services, this agreement remains binding. Arrow Travel Co. reserves the right to pursue recovery of the outstanding amount, including reasonable attorney’s fees and associated costs for collection efforts.
Additional Costs and Fees:
Arrow Travel Co. will make every effort to inform clients of additional costs, such as hotel taxes payable upon check-in or resort fees. However, these charges may not always be reflected during the initial quoting process and may appear on travel vouchers at the time of confirmation. The client acknowledges that such fees are outside the control of Arrow Travel Co.
The following additional fees are common and may apply to your travel arrangements:
- Gratuities for guides, hotel staff, or drivers.
- Mandatory onboard service charges or gratuities for cruises.
- City taxes payable directly to hotels (commonly required in Europe).
- Costs for transport to/from airports if transfers are not included in the quote.
- Breakfasts or other meals at hotels unless specifically noted in the itinerary.
Arrow Travel Co. is not responsible for any omissions of these fees during the quoting process. Additionally, Arrow Travel Co. cannot assume liability for increases in costs due to fuel surcharges, government-imposed taxes/fees, or supplier-imposed increases that occur after booking.
3. TRAVEL DOCUMENTS, INCLUDING TSA AND DHS ACCEPTABLE IDENTIFICATION REQUIREMENTS
It is the responsibility of each Client to obtain and carry a valid passport, visa(s), and all other documents required by applicable government regulations. When traveling domestically or internationally, the U.S. Transportation Security Administration (TSA) and U.S. Department of Homeland Security (DHS) advise that everyone carry acceptable identification to board a flight. Acceptable identification can be found at
http://www.tsa.gov/traveler-information/acceptable-ids; examples include DHS-designated enhanced driver’s license, US passport, or a foreign government passport. The name, date of birth, and gender that appear on the identification card must exactly match the airline ticket(s) and booking records. You acknowledge that any failure to strictly comply with these requirements may result in denied boarding or an undue delay at an airport security checkpoint, causing you to miss flight(s), and subsequent scheduled travel bookings on cruises and tours.
WHEN YOU RECEIVE ANY AND ALL TRAVEL DOCUMENTS, IT IS YOUR RESPONSIBILITY TO REVIEW AND VERIFY ALL INFORMATION FOR ACCURACY. CONTACT ARROW TRAVEL CO. IMMEDIATELY IF CHANGES OR CORRECTIONS ARE REQUIRED.Arrow Travel Co. strongly recommends that you ensure your passport is valid for at least six (6) months beyond your anticipated return date, as some countries will not admit a passenger if their passport expires within six (6) months of return. Non-United States citizens may require additional documentation. It is your responsibility to make Arrow Travel Co. aware when traveling on a passport from a country other than the United States of America. Arrow Travel Co. neither controls nor warrants the issuance of visas or approval of visa waivers related to your travel. Should a visa not be issued, Arrow Travel Co. is not responsible for lost payments made toward the planned trip. Rules regarding entry and exit change frequently and are the responsibility of the traveler to verify before departure.
Children and infants also require travel documents. Minors traveling with one parent or without both parents may require authenticated and verified consent forms; see
https://help.cbp.gov/s/article/Article-3643 for additional information.
Additional Passport Requirements:- Many countries may deny boarding or entry for passports that are damaged, altered, or lost. Clients must ensure that their passport is in good physical condition prior to travel.
- Travelers holding passports from countries other than the United States are responsible for confirming any additional entry or visa requirements for their nationality. Failure to meet these requirements may result in denied boarding or entry, for which Arrow Travel Co. is not liable.
- Travelers with criminal records, including offenses such as DUIs, should confirm entry and exit requirements with the destination country’s embassy or consulate. For example, Canada often denies entry to individuals with past DUI convictions. Visit the U.S. State Department website at https://travel.state.gov for more information and resources on country-specific requirements.
4. INDIVIDUAL ENTRY AND EXIT REQUIREMENTS
Each country has its own regulations regarding past criminal offenses, whether within or outside of their boundaries. If you have a current or prior criminal offense, you should contact that country directly to verify entry and exit requirements. You can visit the U.S. State Department Website for further information:
https://travel.state.gov/content/travel.html. For example, individuals with a Driving While Intoxicated (DWI) record who are traveling to or through Canada should review current entry requirements at:
https://www.canada.ca/en/immigration-refugees-citizenship/services/immigrate-canada/inadmissibility.html.5. HAZARDOUS MATERIALS
Federal law prohibits passengers from bringing hazardous materials on aircraft. Federal law forbids the carriage of hazardous materials aboard aircraft in passengers' luggage or on their person. A violation can result in five years’ imprisonment and penalties of $250,000 or more (49 U.S.C. 5124). Hazardous materials include explosives, compressed gases, flammable liquids and solids, oxidizers, poisons, corrosives, and radioactive materials. Examples: Paints, lighter fluid, fireworks, tear gases, oxygen bottles, and radiopharmaceuticals.
There are special exceptions for small quantities (up to 70 ounces total) of medicinal and toilet articles carried in passengers’ luggage and certain smoking materials carried on their person. For further information, each passenger should contact the relevant airline representative(s) on their itinerary. Restrictions on hazardous materials are listed at:
http://www.tsa.gov/traveler-information/prohibited-items.6. INSECTICIDE NOTICE
We recommend that you refer to the U.S. Department of Transportation (DOT) list of airports in countries that require airlines to treat the passenger cabin with insecticides before the flight or while on the aircraft. This list is available on the DOT’s website and is updated from time to time: http://www.dot.gov/office-policy/aviation-policy/aircraft-disinsection-requirements.
7. HEALTH/IMMUNIZATIONS
You must have the proper immunizations and health screenings and required documentation of such before travel. Arrow Travel Co. shall not assume responsibility for the accuracy of health, vaccination, or documentation prior to departure or upon landing at the final destination. In some cases, required inoculations must be recorded by your health practitioner on a valid vaccination certificate, which you must carry as proof of inoculation. If you have any concerns about taking medications or receiving certain inoculations, check with your health practitioner before booking. Arrow Travel Co. strongly recommends consulting with your healthcare provider and reviewing official resources to stay informed about vaccination and health requirements. Visit the Centers for Disease Control and Prevention (CDC) at
http://wwwnc.cdc.gov/travel for detailed health-related travel information, and the U.S. State Department at
http://travel.state.gov for additional destination-specific requirements and advice.
Important Notes:
- Certain destinations may deny entry if immunization or health-related requirements are not met.
- Specific adventure destinations, such as the Galapagos Islands or African safaris, may mandate vaccinations or minimum travel insurance coverage.
- Arrow Travel Co. does not verify vaccination status or other health-related documentation, as this is considered private and confidential. It is the Client's responsibility to meet all health requirements prior to travel.
Special Notice – COVID-19 Travel:
Travelers acknowledge that COVID-19 is a known and evolving pandemic affecting travel worldwide. By proceeding with travel arrangements, travelers accept all associated risks, including but not limited to:
- Travel restrictions, health screenings, quarantine requirements, or denied entry imposed by destination authorities or transit countries.
- Potential cancellations, schedule changes, or financial penalties imposed by airlines, hotels, cruise lines, tour operators, or other suppliers.
- Health risks, including contracting COVID-19, that may occur during travel or at the destination.
Travelers are responsible for checking, understanding, and complying with the latest COVID-19 advisories and requirements issued by the CDC, U.S. State Department, destination governing bodies, and travel suppliers. Arrow Travel Co. will provide available information after reasonable inquiry but cannot guarantee accuracy or foresee changes to policies. By choosing to travel, travelers agree to hold Arrow Travel Co. harmless for any disruptions, losses, or issues related to COVID-19 and will not initiate chargebacks or legal disputes for such occurrences. Travelers are strongly encouraged to purchase travel insurance and carefully review policy terms regarding pandemic-related cancellations or interruptions.
8. AIR TRAVEL, SCHEDULE RECONFIRMATION, CHECK-IN
Arrow Travel Co. does not assume responsibility for any changes to air schedules. Failure to use a reservation may result in the automatic cancellation of all continuing and return flights, as well as the forfeiture of airfares. Airline e-tickets generally expire one year from the issue date unless specified otherwise in the carrier’s fare rules. In rare instances, certain departure taxes must be paid in cash only upon leaving a country, and the amounts may vary. It is the traveler’s responsibility to verify these requirements prior to departure to avoid unexpected delays or issues at the airport.
It is strongly recommended that travelers check in at least two (2) hours prior to the scheduled departure for domestic flights and three (3) hours prior to the scheduled departure for international flights. Travelers are responsible for reconfirming flight times with the airline at least 24 hours prior to domestic departures and 72 hours prior to international departures, as schedules are subject to change. Airport policies, departure requirements, and flight schedules may change without notice. Travelers are encouraged to remain informed by checking directly with their airline using their booking confirmation number.
Certain destinations may require travelers to arrive earlier than the recommended times due to specific airport rules or conditions. Travelers are responsible for staying abreast of these changes to avoid delays. Information on such conditions can often be found when entering the confirmation number on the airline’s website.
Arrow Travel Co. does not assume responsibility for any financial loss or missed travel due to changes in flight schedules, airport requirements, or traveler error. Travelers are advised to verify all relevant details prior to their trip.

11. UNUSED ARRANGEMENTS, MINIMUM PASSENGER REQUIREMENTS, AND ALTERATIONS TO BOOKINGS

If you decide to change any portion of your confirmed arrangements prior to departure or during your trip, we will attempt to assist you. Certain bookings may not be able to be changed. All requests for changes to a booking must be made in writing to Arrow Travel Co.
