Once your stay is confirmed, this service also includes VIPing you at the property and advocating on your behalf to help ensure you are well taken care of.

This complimentary support does not include hotel comparisons, location guidance, or ongoing consultation to help narrow options. If you would like more involved assistance choosing where to stay, comparing properties, or evaluating multiple destinations, we offer a hotel planning service for a fee of $250. This includes support for up to two destinations and focuses exclusively on preferred partner properties.

These relationships allow us to add value through perks and personalized support that are not available through standard direct bookings.

Preferred partner perks may include daily breakfast, property or resort credits, welcome amenities, and priority consideration for room upgrades or flexible check in or check out. Perks vary by property and stay, but our role is to ensure you are recognized and well taken care of.

For stays that do not meet the minimum booking value, a $50 non-refundable booking fee may apply. This will always be confirmed before moving forward with the reservation.

One change or price adjustment is included with hotel only bookings. This allows for minor updates, such as a date adjustment or room type change, without additional fees. Any additional changes or price adjustments beyond the first may be subject to a $50 service fee, which will always be confirmed before proceeding.

For bookings made through our preferred partner network on refundable rates, we also offer complimentary price tracking. If a lower rate becomes available and reflects a reduction of at least 5% of the booking value, we will notify you. Should you choose to modify the reservation to secure the lower rate, a $25 processing fee applies to handle the update and coordination.

Design My Trip begins with a consultation call to ensure we are the right fit before moving forward. Planning fees are based on the scope and complexity of your trip. For most custom itineraries, planning is billed at $100 per night of travel, designed for up to 4 travelers and 2 destinations, with a minimum planning fee of $500.

Additional fees may apply for expanded scope, including $25 per additional traveler, $100 per additional destination, or rush planning within 45 days of departure, which is billed at double the standard planning rate. Planning fees are non-refundable and full payment is required before any planning begins. All fees will be discussed and confirmed during your consultation call.

Yes. We assist with Disney vacations; however, Disney Parks trips are not offered as a full service, custom planning experience. Instead, we support clients through a structured, self planning approach designed to make the process clear and manageable.

For Disney Parks vacations, bookings include coordination of Disney hotels, ticket packages, select add ons, and VIP tours. We do not manage dining reservations or ride selections on your behalf, but guidance is provided so you can confidently handle these elements independently.

Other Disney experiences, such as Disney Cruise Line, Aulani, and Adventures by Disney, fall under our cruise, resort, or guided tour services and are handled according to those respective planning categories.

Each planning fee is valid for 60 days from the date of payment. Planning services must be utilized within this timeframe to ensure availability, pricing accuracy, and momentum on your trip.

If planning extends beyond the 60-day window or is paused and later resumed, additional fees may apply. Any extensions or adjustments will always be discussed with you in advance.

We provide planning and concierge support for trips booked and managed through Arrow Travel Co. This includes assistance before departure and coordination with our trusted partners while you are traveling, depending on the services booked for your trip.

Support is limited to reservations arranged through our agency. Accommodations, flights, or activities that are self-booked or independently modified outside of Arrow Travel Co. are not eligible for concierge support or trip management. This policy allows us to ensure accuracy, accountability, and seamless service throughout your journey.
